I’ve been thinking about personal weaknesses I have in the workplace – besides missing my regular posts for this blog…
Focus and persistence are two things I think I am weakest at. On a macro level, I have poor focus to stay on task. The consequence of poor focus means I either flit from project to project, or I self-sooth to avoid the pain of friction (typically by going on YouTube).
Poor day-to-day focus leads to poor persistence, which means I don’t carry things to completion. I stick in the ideas or early implementation phase. I chase the next shiny distraction. This would be somewhat remediated through better habits and intentional prioritization of my tasks and time. It would also be partially addressed through better task management, where everything is organized and resurfaced at the times I need them.
Solutions:
Focus – short work sprints (pomodoros) -discrete tasks (break projects into small, well-defined, finite steps) -block out the world (headphones and white noise) -block out distractions (website blockers)
Persistence -organized task management system -calendar blocking -show up each day with focus habits (see above) -project and tasks planning -recognize that progress is made in small steps
For as much as think I am in control of my impulses, the reality is I am buffeted around by my whims far more than I wish were true. The biggest bane to my daily work is the mighty well of distraction that is YouTube. I’ve lost hours of time in a day allowing my subscriptions to serve me fresh content. I try to justify it to myself – “I’m just going over for a quick mental break,” or “I just need to see a tutorial on how to do x-action in Excel.”
Then, I look up and hours might have passed without me consciously knowing it.
Some time ago, I used a browser blocker to prevent me from accessing the worst offenders for distraction (all social media, YouTube, and Reddit specifically). I’m no stranger to signing an Odysseus contract, which I’ve written about before. However during the pandemic, I relaxed it a bit since, hey, we are all going through a rough time.
As of late, I’m forced to conclude that enough is enough, it’s time to hold myself to a higher standard. I went back in, and toggled StayFocusd back on, and so far have done a better job of accounting for my time. Between blocking distractions, using pomodoro sprints, and writing down what I do in my time blocks (quick estimates, nothing too detailed), I’ve done a pretty good job of limiting distracted time.
It’s not perfect, but it’s more than a 1% improvement, which will hopefully compound over time.
In recent weeks, I’ve built reading time intentionally into my work day. I’ve had it “in my calendar” for quite a while as an intention, but I haven’t meaningfully engaged with that blocked-off time since I first put it into my calendar. The intention was to recognize that my skills and career path would require me to commit time to learning and personal development, but I quickly got lazy and found other less productive things to occupy that time with.
I was annoyed with how I’d allow the whole day to slip by without getting a good start to my tasks (my vice being YouTube’s algorithm), so I thought I’d redirect my attention a bit. I reasoned that if my brain wanted to fight engaging with work (because it’s hard), then I could use that time to read. I set the timer and once I finish the sprint, I would start on some task for the day.
Surprisingly, I’m having some success with the process. It’s not perfect, but on the days I start with reading, I’m more likely to resist temptation and tackle items on my to do list.
Coincidentally I’m reading the book Switch by Chip and Dan Heath. One of the chapters discusses the concept of shrinking the change, which is just a fancy way of expressing the idea that we should break big scary tasks into smaller, more manageable bites. Committing to something that is long and ill-defined is hard for my lazy brain to comply with, but it will comply with an easy edict, like “read for the next 25-minutes,” or “spend the next 25-minutes downloading course information files to be processed.”
These tips and hacks are not new – everyone has some flavour of it as part of their productivity system. But like losing weight, it’s not a knowledge problem. Learning and reading about how to lose weight won’t make you shed the fat, nor will it help you amp up productivity.
The challenge for me is tricking myself into not being lazy. If the only way I can do that is making an Odysseus pact, or treating myself like a child, setting a timer, and promising to do a little bit before I get a reward, then so be it.
My productivity has been garbage recently. Maybe the lingering effects of working from home during the pandemic has finally ground me down, but I’ve been struggling with staying on task. I’m failing to prioritize my work, I’m failing to follow-through on intentions, and while I’m keeping up with some deliverables, it’s a real slog to turn stuff around. Even this blog consistently goes up days late.
I try to not take this to heart, because it genuinely wears me down. On a good day, I cross items off my list and stick to the pomodoro timer, letting its ticking provide a meditative soundtrack to my flow. On bad days, it feels like the whole days gets past me with nothing of substance to show; time that’s gobbled up by the Past forever.
On the days when I catch myself heading towards an abysmal performance by 5pm, I tell myself to just get one thing done. It doesn’t have to be huge or complicated, but get at least one important thing done and shipped, and you’ll have had a decent day.
It’s not the best day, it’s not a great day, but a decent day is better than nothing. And it’s easier to chain decent days together to push forward in your work.
Aim for decent days, when you get at least one thing done, then give yourself permission to be satisfied with that.
If you aim for perfection, you stall yourself out. If you aim for decent, you get at least this blog post out.
In an effort to tamp down on my procrastinating and get back on a Pomodoro system, I bought a desk timer.
I elected to go with a physical device rather than using my computer or phone to track time because I’m trying to remove the temptation to get distracted if I’m curious about the time left in the period. But I also had some other criteria.
In addition to wanting to avoid distractions, I wanted: a.) a visual representation of time, b.) something that made audible ticking, and c.) I wanted to avoid batteries if possible. The device above fit all three requirements. You wind-up the dial, set the desired duration, and the timer ticks away until the bell rings.
I’m still struggling with getting started (I usually give in and watch YouTube videos in lieu of starting my work), but once I get going, I find it easy to work through 25-minute sprints.
It’s taken me six weeks, but I think I’ve finally found a good system for working from home. Like many people who are fortunate to work from home during the pandemic, I’ve been struggling with keeping my normal routines while working from my computer at home. I won’t pretend that I had a perfectly productive system when I used to commute to the office everyday, but where I had the illusion of being productive simply by being at work and conversing with my colleagues, at home I am totally cut off from those signifiers of “work.” In the last few weeks, I’ve had spurts of productive time, but those were relatively few in number.
Late last week, however, I found a good combination that allowed me to really focus on moving my tasks along. I’ll share some of the tools that have been working for me.
First, using headphones to play noise while I work helps me make the mental shift in context from “home” to “work”. I have two sets of headphones at home, and both work well – a wired set of Sony headphones with noise canceling function, as well as a set of Philips Bluetooth headphones that also cancel noise actively.
I don’t just listen to music, however. I find most music to be distracting to my workflow – even lyric-less songs. My mind tends to pick up on the melody, and I’ll focus on that instead of the task at hand. I have two sources of noise I currently use – a pomodoro Chrome extension that plays fuzzy white noise (and conveniently tracks my pomodoro sessions), as well as a pomodoro video on YouTube that includes a visual timer and ticking clock. The white noise blocks out ambient noises that otherwise gets through my headphone’s noise canceling feature, and the ticking noise helps me focus.
Speaking of pomodoros, I use the pomodoro method to break down the tasks into manageable chunks. It also has the benefit of bypassing my motivation drive. Rather than committing to working an 8-hour work day, I commit to the next 25-minute block of work.
I have a lot of projects and tasks to keep track of, so I use two systems to prioritize and track my work. For long term, multi-step tasks, I have set up a dedicated board on Trello to manage where each project is in the pipeline. I have created buckets that I can move tasks through, from the general pool of tasks, to the planning phase, into an active phase, and if the project is put on hold, I can take notes on what I need to do to push things along while the task is in limbo.
For day to day task planning, I went simple and set up a text file that I number tasks as I think of them for the day, then I keep track of what I accomplish each day in a growing list. I usually would do this in my notebook, but I liked being able to cleanly re-order tasks. On paper, you can only order tasks in the initial stack you wrote them in, but if something changes during the day (e.g. a meeting gets scheduled on short notice), it’s harder to move things around.
Aside from the Microsoft Office tools provided by my employer (Outlook, Teams, Sharepoint, and OneNote), that covers my current workflow. Depending on how long the stay-home order is in place, I might update how this system evolves. It’ll also be interesting to see what of this system I port back with me to the office (I have a feeling I might bring the headphones to help me focus).

Note – this is an experimental posting format. I’ve thought about increasing the number of posts I commit to per week, but I don’t want to add unnecessary work if I’m not willing to stick it out. Let’s be honest: sometimes it’s really hard to get a single post out each Monday that I’m satisfied with, so increasing my posting frequency just to for the sake of increasing my output is a terrible idea. I will run a short experiment to see how easy it is for me to get out a Friday Round-up for the next month. If the experiment goes well, I’ll consider making it a part of the regular rotation.

We should be reminded that maps are not the terrain, and that models are predictions (read: guesses), not certainty. We rely on models to help us understand the world, but we should remember that they have their limitations.
Paired nicely with Seth Godin’s post above, Dr. Attia gives a good lay-primer on how a model is created, and what the limitations are when trying to model something like a virus when so little is known about it. The two takeaways I have from this piece are: we should be more willing to accept that good models gives us ranges, not fixed numbers (and we should be more comfortable with the ambiguity); and just because the worst case didn’t arrive, it doesn’t mean that the model was overblown – we need to find out more about why the model was off. It might be that the virus isn’t as dangerous as we initially thought, or it might be that physical distancing greatly impacted the viruses capacity to spread (it’s probably a little of both), but until we know which side maps to reality, we can’t be confident of what we should do next.
This is actually something I’ve used for some time, but wanted to share. When I’m trying to focus, I have discovered that I can’t listen to music (even of the lo-fi variety) because I find the melodies too distracting. However, I’ve found it helpful for me to listen to regularly repeating noises, such as white noise and ticking metronome sounds. I’ve experimented with a few options, such as a 10-hour “cosmic white noise” video, but while working from home during the pandemic, I’ve settled on this Pomodoro video that I also have paired with a Pomodoro Chrome browser extension that plays white noise (the ticking gives me focus, the white noise blocks out ambient sounds in my room). Forcing myself to focus in 25-minute spurts keeps me on track while I move through my to do list.
